Michele Villano

Clinical Manager

Clinical Manager

Clinical Manager and your first point of contact. Michele supports intake, clinician matching, scheduling, and the practical logistics that make care work.

About Michele Villano

Michele Villano is the Clinical Manager at Toronto Mental Health Clinic. For most clients, Michele is the first person they meet, the voice that answers when they call, or the person who responds to their intake form.

Her role is unglamorous in description and unusually important in practice. Reaching out for mental-health care is often the hardest step in the whole process. It requires energy that people frequently don't have, admitting something you might not have admitted out loud before, and trusting a stranger with the beginning of a very personal story. Michele is aware of all of that, and her job, the way she does it, is to make that first step as low-friction and unintimidating as possible.

Philosophy

Michele's approach is built on one core observation: the way someone is welcomed to a clinic shapes whether the therapy that follows will work. A cold intake process, a bureaucratic voicemail, a matching mistake early on, any of these can quietly derail a course of treatment before it starts. Conversely, a warm, informed first contact often gives a client the last little bit of momentum they need to actually book the consultation, show up, and stay.

That's why Michele treats intake as a real clinical function, not an administrative one. She listens carefully to what people say they need. She asks questions that help clarify the fit. She matches clients to clinicians based on more than just calendar availability, presenting concerns, life stage, preferred approach, and the specific match between what a client is looking for and what each clinician does well.

What Michele Handles

  • Initial inquiries, the "I'm considering therapy, but I don't know where to start" conversation, held without pressure
  • Consultation scheduling, booking the free 15-minute consult with the clinician who fits best, not just the one with the next open slot
  • Clinician matching, helping identify who on the team is the best fit for a specific presentation, life stage, cultural context, and preferred approach
  • Administrative coordination, insurance receipts, appointment logistics, session-to-session continuity, and the everyday support that lets clinicians focus on clinical work
  • Communication with clinicians, flagging concerns from clients, coordinating referrals, keeping the team aligned on client care
  • Feedback and quality improvement, surfacing what clients tell her about what's working and what isn't, and helping the clinic keep getting better

The First-Contact Experience

If you contact the clinic without knowing exactly what you need, that's the norm, not the exception. Michele will listen to a general description of what's been going on and either match you to a clinician for a consultation or, if it's not clear yet, spend a few extra minutes helping think through your options. She will not:

  • Ask you to justify why you're considering therapy
  • Push you toward services that don't fit
  • Make you fill in more information than is genuinely needed to move forward

She will:

  • Explain how the free consultation works and what to expect
  • Help you compare clinicians if you're weighing options
  • Answer practical questions about fees, insurance receipts, virtual vs in-person sessions, and scheduling logistics
  • Redirect you to a different clinic or resource if she thinks that's actually what you need, the clinic doesn't try to be right for everyone

Background

Michele brings a background in client support and office management, with particular focus on healthcare settings, which means she's fluent in the specific texture of coordinating care that people need but don't always have easy language for asking about.

Working with Michele

You don't book sessions with Michele, she's not a therapist. You work with her to figure out who on the team to book with. If you'd like to start there, reach out via the contact form or by phone. She'll take it from there.
